Purpose
The Project Manager plays a pivotal role in the delivery of world-class events by managing core project workflows, timelines, and communication across teams. Acting as the bridge between Project Coordinators, Senior Project Managers and Project Directors, you will take ownership of day-to-day project delivery aspects and specific administrative tasks while contributing to planning, logistics, budget oversight, and team coordination. You’ll be confident working with internal departments, external suppliers, and clients to ensure all elements of the event are delivered on time, on budget, and to the highest standard.
Key Responsibilities
Project Management & Delivery
- Manage and maintain project plans, timelines, and schedules across multiple projects.
- Own and update project critical paths, ensuring all deliverables remain on track.
- Coordinate internal and external teams to keep the project progressing smoothly.
- Be the main point of contact for project-specific queries from the wider team and suppliers.
- Escalate project risks or issues to the Senior Project Manager or Project Director with clear recommendations.
- Support administrative, process-related and financial tasks where required
Operational Coordination
- Lead logistics planning across workstreams (creative, technical, operations), including supplier coordination, registration, and venue logistics.
- Set up and manage projects in internal systems (e.g. Asana, Procim), ensuring clear documentation and structured workflows.
- Organise and run internal and external meetings: preparing agendas, capturing notes, and following up on action items.
Financial Support
- Support budget tracking and management throughout the project lifecycle.
- Liaise with suppliers for quotes, cost tracking, and change order management.
- Assist in updating budget documents and monitoring profit margins.
Client & Team Communication
- Serve as a regular client contact on operational aspects of the project, maintaining professionalism and clarity.
- Help translate client briefs into actionable internal project briefs.
- Ensure timely and effective communication between all stakeholders involved in the project.
Onsite & Event Execution
- Support on-site delivery of both physical and virtual events, including team coordination, supplier management, and logistics troubleshooting.
- Ensure smooth execution of running orders and team briefings during live event days.
- Act as the operational lead onsite where appropriate.
Post-Event Duties
- Support post-event debriefs, gathering insights and feedback from the client and internal teams.
- Assist in final budget reconciliation and collation of final documentation.
- Contribute to post-event reports and case studies to showcase success and capture learnings.
Skills and Qualifications
- 2–3 years’ experience in event or project management roles.
- Proven experience managing multiple projects simultaneously.
- Highly organised with strong attention to detail and time management.
- Confident communicator with excellent interpersonal skills.
- Ability to problem-solve and remain calm under pressure.
- Proficient in project management tools such as Asana, Procim, or similar.
- Budgeting and supplier coordination experience is a plus.
