Motive Vision 26 brought together 1,200 safety, operations and finance leaders in Nashville for three days of content, connection and community.

As Motive’s annual user conference, the event needed to build trust in Motive’s technology, create momentum around AI and hardware innovation, and help customers see how the platform could improve safety, efficiency and performance across their fleets.

The challenge

Motive operates in a sector where technology has to prove its value quickly.

Fleet leaders are not looking for innovation in theory. They need tools that make operations simpler, decisions faster and teams safer. Vision 26 needed to reinforce Motive’s position as a trusted, modern platform for fleet transformation while speaking to the different priorities of safety, operations and finance leaders.

The challenge was to create an experience that felt premium, confident and high-energy, without becoming overwhelming. With keynotes, breakouts, bootcamps, an expo, executive meetings and social moments running across three days, clarity and consistency were essential.

The solution

We created a cohesive conference experience built around momentum, structure and brand confidence.

A flexible visual system made every touchpoint feel unmistakably Motive. From the main stage to breakout rooms, signage and content capture, the experience felt clear, consistent and connected.

The programme balanced inspiration with practical value. Keynotes and fireside chats set the direction, while breakouts and the Safety Leader Bootcamp gave attendees the chance to go deeper.

Motive World, partner showcases and Executive Business Center meetings created space for customer engagement, partner visibility and commercial conversations. Across the venue, more than 50 room screen signage pieces and seven double-sided digital totems helped attendees move through the programme with confidence.

Content capture was built in from the start, giving Motive clean records, recap footage and social-first assets that could extend the value of the event beyond Nashville.

The result

Vision 26 exceeded its original attendance target, welcoming 1,200 attendees against an expected audience of 900.

The event gave Motive a larger platform to build customer confidence, showcase innovation and strengthen its community across the fleet management sector. It also created a repeatable flagship format that can continue to grow with the brand.

The experience delivered scale, structure and measurable impact:

  • 1,200 attendees joined the event, exceeding the original target by 33%.
  • 50+ room screen signage pieces created a consistent branded environment across the venue.
  • 7 double-sided digital totems supported wayfinding, agenda visibility and sponsor moments.
  • 98% of materials were reused, donated or repurposed after the event.
  • Only 1.8% of materials went to landfill, supporting a lower-waste approach to large-scale conference delivery.

The event also included a holistic sustainability audit across accessibility, environmental impact, community value and wellbeing. Measures included real-time captioning, accessible parking, large print and digital materials, quiet rooms, water stations and reusable, recyclable or compostable materials where possible.

Together, these elements helped Vision 26 become more than a customer conference. It became a premium platform for trust, adoption and momentum.
