Purpose

We are looking for a Resource Manager & In-House Recruiter who can champion our workplace culture that embodies all of our values: Conscious Operators, Dependable Forces, and Fearlessly Imaginative.The candidate should be someone who is not only passionate about orchestrating flawless resource processes but also brings a talent for headhunting and sourcing the right people to build and enrich our team. This role will balance internal recruitment with resource allocation, ensuring that both our full-time team and freelance network are primed for success. The ideal candidate will be proactive in reaching out through LinkedIn and other recruitment platforms, creating a skilled and diverse talent pool that drives event excellence.


Responsibilities

Talent Sourcing & Recruitment
  • Act as our in-house recruiter, actively headhunting both full-time candidates and freelancers across LinkedIn and other industry platforms.
  • Build strategic connections within the industry, ensuring our agency is top of mind for exceptional talent.
  • Manage the entire recruitment process, from outreach and candidate engagement onboarding, ensuring every hire aligns with our values and elevates our team.
  • Develop a proactive recruitment strategy, staying ahead of event demands by continuously sourcing and engaging with top talent.
Resource Allocation & Planning
  • Collaborate with project leads to assign internal and freelance talent to events, aligning skill sets with project requirements.
  • Maintain a structured database of talent, tracking availability, skills, certifications, and past event experience to facilitate quick, informed allocation decisions.
  • Develop and implement resource management tools to monitor team and freelancer schedules, identify conflicts, and maximize efficiency.
Freelance Network Development
  • Cultivate a trusted freelance network, prioritizing long-term relationships with skilled freelancers who match our values and project standards.
  • Regularly engage freelancers, ensuring their profiles are up-to-date with skills, availability, and certifications.
  • Be a champion of freelancer experience, offering smooth onboarding, clear expectations, and consistent communication.
Financial Oversight & Budget Management
  • Oversee resource budget allocation, ensuring staffing aligns with both project and financial goals.
  • Monitor freelance and internal resource costs, balancing budgets while delivering exceptional talent.
  • Coordinate with the finance team for timely payments and accurate tracking of freelance costs.
Forecasting & Strategic Resource Planning
  • Use past event trends and seasonal patterns to forecast future resource needs and drive proactive recruiting and resourcing strategies.
  • Provide leadership with insightful reports on resource allocation, freelance usage, and upcoming project needs.
  • Identify skills gaps within our talent pool, supporting growth and enhancing team capabilities.
Culture & Engagement
  • Foster an inclusive and supportive culture that values both our full-time team and freelancers, enhancing engagement and long-term retention.
  • Initiate feedback processes to continuously improve both internal and freelance experiences.
  • Organize freelance team-building activities and freelance recognition initiatives, celebrating successes and reinforcing our agency’s collaborative culture.

Qualifications

Resource Management Expertise

Proven experience in resource management, talent acquisition, or headhunting, ideally within the creative or events industry.

Proficiency in Talent Acquisition Tools

Demonstrated expertise in recruitment platforms such as LinkedIn, with a proactive approach to identifying and engaging top talent.

Organizational and Project Management Skills

Strong organizational and project management skills, with an ability to balance multiple priorities.

Exceptional Communication and Relationship Building

Exceptional communication skills, with a commitment to fostering strong relationships across the team and freelancer network.

Financial and Budget Management Experience

Experience in financial planning and budget management for staffing or resourcing purposes.
