Purpose

This role is responsible for supporting the Growth and Client Experience teams in achieving the emc3’s growth strategy. Working closely with the Account Directors/ Managers (ADM) and facilitating the interface between cross functional departments involved in the proposal development process.


Responsibilities

Proposal Management

End to end management of the Proposal Development Process in conjunction with the ADM, in accordance with the pre-agreed process flow which includes:

Prepare
  • Set up initial triage process when brief comes in – to include VP Growth, HoCE, Director of Event Services, Executive Producer and ADM
  • Support completion of Opportunity review form and pitch investment score card
  • Identify Full Proposal Team in conjunction with triage team
  • Set up Kick-off/ Brainstorm with full proposal team
  • Identify resource including any 3rd parties
  • Identify internal resource – including Producers/ Project Managers/ Design/ Technical
  • Ensure Hubspot is updated with opportunity in conjunction with the ADM
Explore
  • Conduct analysis of any previous opportunities/ experiences with the same client, including successes/ failures
  • Analysis of proposal requirements with ADM, including identifying objectives and assessment criteria
  • Agree submission format
  • Allocate roles and responsibilities
  • Agree deliverables and timelines
  • Agree communications plan & key touchpoints
  • Take responsibility for targeted research
Refine
  • Lead the collaboration between Venue sourcing, Creative Resource and the proposal development team
  • Ensure content developed is brief specific
  • Regular check-ins on timelines, visuals, clear structure, meeting client objectives
Deliver
  • Ultimately ensuring the proposal exceeds client expectations
  • Quality control, ensuring accuracy of all proposals before approval by ADM and VP Growth/ HoCE
  • Understanding of e-procurement software and ensuring resource allocated to any portal uploads is managed in an accurate and timely manner
  • Support with pitch preparation as required
  • Attendance at client pitches as appropriate

  • Understand emc3’s services
  • Understand emc3’s brand strategy and apply its principles at all times
Business Analytics and Reporting
RFI/RFP Management

Management of RFI/RFP tracker and identification of business development opportunities

Sales Support and Reporting
  • Support Sales team in identification of seed opportunities and qualification of prospects as required.
  • Preparation of ad hoc reporting as required.

Essential skills

Proposal Management
  • Expertise in managing end-to-end proposal processes, including triaging, resource allocation, and quality control.
  • Strong quality control to ensure proposal accuracy and alignment with client objectives.
  • Maintaining organised records and managing centralised proposal resources.
Organisational and Analytical Skills
  • Strong organisational skills to coordinate cross-functional teams and third-party resources.
  • Ability to analyse client opportunities and proposal requirements.
Research and Customisation

Conducting research and applying insights to tailor proposals to client needs.

Communication and Collaboration
  • Effective communication skills for coordinating between teams, managing client expectations, and preparing pitches.
  • Ability to build relationships and collaborate with internal teams (e.g., Creative, Design, Technical) and external stakeholders.
Technology and Tools
  • Familiarity with CRM systems such as HubSpot for opportunity tracking.
  • Knowledge of e-procurement software for proposal submissions.
Brand Strategy Application

Understanding of emc3’s brand strategy and applying it consistently across proposals.

Time Management

Capable of handling multiple projects with tight deadlines while maintaining high-quality outputs.

Client Engagement

Assisting with and occasionally leading client pitch presentations.


Essential experience

Industry Experience

Proven experience in a proposal development or similar role within events, marketing, or related industries.

Project Management

Demonstrated experience in managing complex projects and coordinating cross-departmental teams.

Client Analysis and Customisation

Experience in analysing client needs and tailoring solutions to exceed expectations.

RFI/RFP Management

Experience managing RFI/RFP trackers and using analytics to identify business development opportunities.
